Information supplied in enquiries, applications and correspondence may include names, contact details, learner and guardian details, and the information or documents you choose to provide. It is used to respond to enquiries and, where relevant, administer admissions, education, learner support, fees and school communications. Please provide only information needed for your request. If essential information is missing, the school may be unable to process the enquiry or application. Ask the office which fields are compulsory and why.
Processing must have a lawful basis under POPIA, such as consent, a legal obligation or another permitted justification. Information must be relevant to a stated purpose. Further use must be compatible with that purpose or otherwise lawful. Submitting an enquiry is not blanket consent to unrelated marketing.
Children’s and special personal information receive additional legal protection. A competent person’s consent or another applicable legal authorisation is required where POPIA provides for it. School photographs and learner achievements should only be published on an appropriate lawful basis. Contact the office to raise a concern about an identifiable learner or request review of a photograph. Do not send identity documents, medical details or confidential learner records through a general enquiry unless specifically requested through an appropriate channel.
Access should be limited to authorised school staff and service providers who need the information for their work, including website hosting, maintenance and communication support. Education authorities or other recipients may receive information where lawfully required or authorised. Service providers processing information for the school must protect it and act within their authorised purpose. Any international transfer must meet POPIA’s requirements.
Reasonable safeguards must protect information against loss, misuse and unauthorised access. No online service can guarantee absolute security. Records should be kept only for the relevant purpose, an applicable legal retention duty or another lawful reason, then securely deleted, destroyed or de-identified. Report a suspected disclosure to the office promptly. Security compromises must be assessed and notified as required by law.
Website requests can generate technical records such as IP addresses, browser details and access times. Cookies may support sign-in, security and site preferences. Embedded media or external links may connect your device to another provider, which applies its own privacy terms. Browser settings let you manage cookies, although blocking necessary cookies can affect functionality. This notice does not itself activate a cookie-consent system. You may request access to your personal information, ask for correction or lawful deletion, object where applicable, withdraw consent for consent-based processing, or complain to the Information Regulator. These rights are subject to lawful limits and identity checks. Withdrawing consent does not invalidate earlier lawful processing or override legal recordkeeping duties.
